Custom AI Policy
An AI policy your team will actually follow
In 10 business days, we write your company's AI use rules with you, present them to your team, and every employee signs them. AI stops being a quiet habit and becomes a work tool, with clear limits.
Why not just a template?
A template tells you what to write. Not what your team really does.
Our free template is a good start. But a policy only works if it matches the tools your team really uses, if those tools are set up properly, and if people know it exists. That is what we add.

- Based on real use
An anonymous survey shows which tools are used, for what, and with what information.
- Tools checked
We review the privacy settings of what you already pay for, and of the free accounts used on the side.
- Known and signed
A team session and a signed acknowledgement: the policy lives in daily work, not in a drawer.
How it works
Ten business days, five steps
- Day 1 · Kickoff
45 minutes on your tools, your sensitive information and your obligations.
- Days 2–4 · Snapshot
A 5-minute anonymous survey for your team.
- Days 3–6 · Tools
Privacy settings checked, approved tools listed.
- Days 6–8 · Writing
Your policy and its one-page summary, reviewed with you.
- Days 9–10 · Rollout
A one-hour team session, then signed acknowledgements.
Your team's time: about 2 hours for the person in charge, and about one hour per employee (the survey and the session).
You receive
- A snapshot of how AI is used in your company today
- Your AI use policy, in English, French or both
- A one-page summary for every employee
- The list of approved tools and their settings
- Signed acknowledgements and a review date
And then?
Once the rules are in place, many teams want to go further: train everyone on their real tasks, and automate the repetitive work. That is AI-Ready 30, and the $1,200 for your policy is deducted if you continue within 60 days.
The policy is a practical framework, not legal advice. Regulated organizations should have it reviewed by their own advisors.
FAQ
Questions about the Custom AI Policy
Do we need to be a large company?
No. It is designed for teams of 2 to 50 people, with no in-house IT or legal department.
What if we already have a policy?
We review it, update it to the tools your team really uses, and roll it out. The price is confirmed after the free AI check.
Why have employees sign it?
A signature shows that everyone received and read the rules. It turns a document into a shared commitment, and helps if a question ever comes up later.
Is it credited toward AI-Ready 30?
Yes, the full $1,200, if you start AI-Ready 30 within 60 days.
How long before we have our policy?
About 10 business days from the kickoff meeting, including the team session and the signed acknowledgements.
Will you see our client data?
No need. The survey is anonymous, and we review your tools' settings, not the content of your files. We sign a confidentiality agreement on request.
What if employees are reluctant to answer the survey?
The survey is anonymous, takes 5 minutes and is presented as a way to set useful rules, not to find culprits. We only share the overall results with you.
Will the policy make us compliant with the law?
It takes privacy principles into account, but it is not legal advice and we do not guarantee compliance. Regulated organizations should have it reviewed by their own advisors.
What happens when AI tools change?
Your policy includes a review date. You can update it yourselves, or we keep it current through Ongoing AI Support.
