The reality

AI is already in your business. Nobody decided it.

An assistant polishes her emails with ChatGPT. A technician summarizes his notes on his phone. A manager pastes a contract in “to save time.” Nobody is doing anything wrong: they are trying to do their job well. But without rules, each person decides alone what leaves the company.

Banning AI does not work: people keep using it, just quietly. What works is a framework.

The problem, and the solution, in one minute

How AI quietly enters a small business, what it puts at risk, and how TagVolt sets it up safely. With sound and subtitles.

1Step 1 of 3

Clear rules, in 10 business days

On one page, your team knows which tools to use, what is allowed, what never is, and who to ask. AI comes out of the shadows and becomes a work tool.

2Step 2 of 3

From rules to results, in 30 days

Rules are the starting point. AI-Ready 30 goes all the way: your policy, a team trained on its real tasks, and up to three automations that save measured time. We start from the tools you already use, such as Microsoft 365, Google Workspace, QuickBooks or Jobber.

Week 1

Set the rules

Snapshot of current use and your custom AI use policy.

Week 2

Train the team

A three-hour hands-on workshop on your own documents and tasks.

Weeks 3 and 4

Automate and measure

Up to three automations, built, tested, and the time saved measured.

$3,500, fixed price

Already have your Custom AI Policy? Its $1,200 is deducted. After the 30 days, optional ongoing support from $300 per month.

3Step 3 of 3

Then AI works for you

Once the rules are in place, we automate the tasks that come back every week, always with a person approving what goes to a client. Example: following up on a quote, before and after.

A quote with no reply triggers a follow-up drafted automatically; a person reviews it and clicks to send. Quote follow-ups Quote #1042, no reply Sent 3 days ago · kitchen renovation Draft ready Hello Ms. Côté, Edit Approve and send Sent Reviewed by a person, then sent

Proof

The same method, where confidentiality is not optional

Case study

An Edmonton legal services firm

A sector where confidentiality comes before everything else.

The challenge

Long documents to prepare for every file (timelines, memos, briefs) and case information that had to stay organized and protected.

What we built

A case management platform, and an AI document workflow: the client's account becomes a timeline, then a legal memo, then a brief with case law references. Plus a quick drafting tool for letters, with Word export.

The rules applied

Documents start from a structured draft instead of a blank page, and every legal reference suggested by the AI is checked and confirmed by a person before it is used.

Before AI-Ready 30, we built the digital systems of organizations across Alberta.

Couldn't we just ban AI?

A ban pushes AI use out of sight: people keep using it, without telling anyone. A clear policy lets you keep control over what leaves the company, while your team saves time.

We already have Copilot or Gemini. Why do we need rules?

An approved tool does not say what can go into it, who checks the results, or what to do when something goes wrong. The policy does. We also check that the settings you already pay for are configured properly.

Is the AI policy legal advice?

No. It is a clear, practical framework for your team. Regulated organizations should have it reviewed by their own advisors.

How much time will my team need to give?

For the Custom AI Policy, about 2 hours for the person in charge and about one hour per employee (a short survey and the team session). For AI-Ready 30, about 6 hours for the lead and 3 hours per workshop participant.

Who owns the policy and what you build?

You do. Your policy, your automations, your accounts and your data stay yours, even if you stop working with us.

$3,500 is a lot for a small business.

You can start with the Custom AI Policy at $1,200, which is then deducted from AI-Ready 30. And do the math: 5 hours a week at $40 an hour is about $10,000 a year. The free AI check is there to tell you honestly whether the program is worth it for you.

Will AI replace my employees?

That is not our approach. AI prepares the repetitive work (drafts, summaries, follow-ups) and your people keep the decisions and the client relationship. The goal is to give them time back, not to replace them.

What if the AI makes a mistake?

It is planned for. Anything that goes to a client is checked by a person, every automation is tested with sample data before it goes live, and your policy says exactly what to do if something goes wrong.
